Pre-launch checklist

Before you hit Publish, make sure these items are in place. The checklist is in the order you would typically do them — some require the dashboard, others are decisions you make in advance.

1. Square is connected

TimbaTicket uses Square to process payments. If Square isn't connected, buyers can see your event page but the checkout button won't work.

How to check: go to Settings in the dashboard. If you see a green "Connected" badge next to Square, you're good.

What if it's not? Follow Connect Square — it takes about five minutes.

2. Ticket types exist

Create at least one ticket type (e.g. "General Admission") with a price. Without ticket types, the public event page has nothing to sell.

How to check: open your event → Tickets tab. You should see at least one row.

Related: Ticket-type fields reference explains every field (name, classes included, advance/door tiers, availability windows).

3. Fee policy decided

Decide whether the platform fee is absorbed (comes out of your proceeds) or passed through (added to the buyer's price). This is a one-time decision per event.

How to check: open your event → Tickets tab → look for the "Platform fee" toggle.

Related: Absorb vs pass-through explains the difference with real examples.

4. Event details and capacity

  • Event name and description — the public page's first impression.
  • Date and time — when the event starts and ends.
  • Venue — where it happens.
  • Capacity — how many tickets can be sold in total. Default is 100. Capacity is shared across all ticket types.

How to check: open your event → Overview tab → verify all fields are filled.

5. Cover image uploaded

A cover image makes the event page look professional in search results and social shares. The Share Centre generates promotional images from this photo.

How to check: open your event → Media tab.

6. Share tools ready

The Share tab gives you everything you need to promote:

  • WhatsApp / Facebook — pre-written messages with your event link, ready to copy or open directly in WhatsApp.
  • Instagram — a "Copy bio link" button (Instagram captions can't have clickable links) plus downloadable images (Story 9:16, Feed 1:1, Poster 4:5) with a scannable QR code.
  • Embed — a code snippet you paste into any website (Wix, Squarespace, WordPress, plain HTML) to show the event page inline.

Related: Market your event (101) goes deeper on each channel.

What you don't need before launch

  • Discount codes — optional, add them later.
  • Guest lists — optional, useful for door management but not required.
  • Team members — you can add them after launch.
  • Collaboration — only needed if multiple organisations are co-hosting.

Next step

When everything above is ready, open the Publish tab and publish your event. It goes through a short approval step before going public.
