Recounts (settlement)

A recount (also called settlement) is a post-event comparison between how many tickets were sold and how many people were actually admitted at the door. It creates a frozen financial snapshot you can download as a PDF.

When a recount is available

A recount is only available after the event has ended. The event's end date must be in the past. If you see "Recount is available once the event has ended," the event has not reached its end date yet.

Events in Draft or Pending Approval status can never be recounted — they must be Published (or Sales Closed) first, and their end date must have passed.

How to run a recount

  1. Go to your event in the dashboard.
  2. Open the Settlement tab (or section).
  3. Click Run recount.
  4. The system generates a snapshot. A new row appears in the settlement history.

What the recount shows

Ticket counts

FieldMeaning
TotalAll tickets for the event
ValidTickets not yet scanned (no-shows or not yet arrived)
UsedTickets scanned and admitted
RefundedTickets that were refunded
Netted RefundedRefunded tickets whose refund has completed

Revenue

FieldMeaning
Gross RevenueTotal paid across all paid orders
RefundsTotal completed refund amounts
Net RevenueGross minus completed refunds

Problems & overrides

  • Problems — tickets where a problem was flagged at the door (wrong event, VIP mismatch, etc.).
  • Overrides — tickets where a manager overrode a failed scan and admitted the guest anyway. The report notes what the prior state was (refunded or problem) before the override.

Settlement PDF

After running a recount, you can download a PDF of the settlement. The PDF shows:

  • Gross Revenue, Square Fees, Refunds, Net Revenue
  • Tickets Sold, Tickets Refunded, Attendees (checked in)
  • The date the settlement was generated

Each settlement is a frozen record. If you run a recount again, a new record is created and the previous one is marked as superseded — you can still view it for reference.

Revenue splits (collaborative events)

If the event has a revenue split across organisations (for collaborative events), the settlement also calculates each organisation's share of the net revenue. This is shown in the settlement details.
